Why Choose a File Cabinet for Office Storage?
ISO 15489 treats records as evidence, not merely stored information. A file cabinet can protect paper records when access, retention, and security are clearly managed. Choose labeled folders, controlled keys, and a simple index. A signed contract should remain identifiable, complete, and easy to retrieve. Dusty drawers are not a records system. The process matters more than the furniture.
Digital records offer faster searching and easier sharing. They also need reliable metadata, access controls, version tracking, and scheduled backups. A scanned invoice should show its date, creator, approval, and relationship to the transaction. If staff rename files casually, authenticity becomes harder to prove. Search speed cannot repair missing context.
Hybrid storage often fits real offices better. Keep original documents when their physical features matter, while using controlled scans for daily work. ISO 15489 principles require consistent capture, protection, retention, and authorized disposition across both formats. In practice, our first retention schedule was too ambitious. Staff ignored it. A shorter schedule, clear ownership, and monthly checks worked better. One weakness remains: paper and digital indexes can drift apart. That risk deserves regular review, not wishful thinking.
